How to Write a Good Business Letter?

A business letter is simply a formal letter from one business to another, to any of its customers, partners, clients, suppliers, or anyone else, besides its own. The content of such a letter largely depends on the relationship Between the parties involved. It may be a response to an inquiry, a proposal, an invitation, or any kind of correspondence. The formal structure of business letter varies from one to the other but usually follows four basic elements. The first element is the name of the company or organisation which is being addressed; the second element is the body of the message; the third element is the date on which the message was written; and the fourth element is the recipient of the message.

In order to create a standard business letter format for e-mails, you have to include all those elements which were mentioned above. Of course, you also have to make sure that you have specified the intended recipient of your mail and that your e-mail body has the correct format for reading. To make sure that your small business works best through e-mail marketing strategies, you have to make sure that all your addresses have been formatted properly to fit the conventions of e-mail and the way that various mailing services like MSN, Yahoo, Hotmail, etc.

Before you create your business letter format, the first thing that you have to do is to take note of all the standard formats. You can check this by first opening up Notepad or Word and then create a document in whatever format you are comfortable with, whether it is single spaced, Courier 12-point, Times New Roman, etc. You can even do it by yourself by filling out a simple form. The next thing that you have to do is to identify the style that you want to follow for the content of your mail. Here, the single-spaced option is always the most popular one as far as business letters are concerned, since it makes the content to look very compact and also very readable.

Single Spaced: This business letter format for a formal letter usually follows a single block format. The sender is usually addressed as “Dear Sir”. However, if you are using it for a love letter, then you can address it to “To My Love”. If you would like to use single-spaced form in your letter, then you have to write the first four or five words in italic letters. Following it you have to use a colon and then the word you are writing in single spaced Roman numeral font.

Block Formatted: The block format is another common business letter format that is used for informal letters. The text you have written on the other side of the envelope has to be written in reverse order i.e. from the top to the bottom. Then you have to write the name of the person to whom the envelope is being addressed. Then the body of your message has to be in reverse chronological order and enclosed within an envelope with a signature block.

Paragraph Formats: There are two types of business letter format that you can adopt for writing your message. In one space, the first four or five paragraphs are written in single spaced Roman numeral font. The next paragraph has to be written in single space and enclosed within a signature block. If you want to use paragraph form on the last paragraph, then you have to make sure that there is no line below the body of the letter.
