Writing Business Letters on a Personal Computer

Whether you are writing a business letter or soliciting funds, keeping the content simple and straight forward is important. A good example of this is the way in which you address a letter to a new client. The tone and feel should be friendly and inviting, but still professional.

Some types of business letters have an envelope addressed to a specified individual. This letter should include a brief introduction to the company or individual who will receive the letter. These introductions are usually short and sweet.

Other types of letters you might find yourself addressing might be those that are written by a salesperson. To make them seem more professional, you might consider using some simple yet professional wording. Your tone can either be warm or warmly conversational, depending on what you feel is appropriate for your situation.

A great technique to take advantage of when addressing a letter on a personal computer is to use the font size. Try using small or bold type. If the text is going to be read at a desk top, it can be difficult to read a letter while typing. It would be unprofessional to use lower case letters in this situation.

Sometimes the letter will be read at a computer that is on a telephone line. Again, the font size might be important. If you type well enough to read the letter, you should use the letters to spell out a word or phrase rather than just the text. You should also use numerals for a phone number, which makes it easier to find when looking up the caller.

Some companies that send or deliver letters will have a particular office where they can be picked up or dropped off, such as a call box or snail mail box. This should be the place to deliver a business letter. You could include the name of the building as well as the address for the secretary or receptionist there.

If you are addressing the letter from an unknown office location, include your name as well as the address in the title. For example, if you were sent a letter to your home address, your address might be “Please deliver to this address.” The informal nature of the greeting will help to make the recipient feel welcomed and appreciate the gesture.

At the very least, when you are using your personal computer for business purposes, consider creating a business letter format for your letters. This will help make the content less formal and more personable. Take advantage of a personal computer to achieve better results.
